In case of inclement weather call the Inclement Weather Hot Line, 503-646-4106, for update information of Club activities, cancellations and/or closures.
Smoke Free Environment
Smoking is not permitted in any indoor areas of the Club, patio areas or within 10 feet of the Club entrance.
Entering the Club
Please check in at the Service Desk. Membership or photo ID must be shown before entering club. Your guest(s) must be registered at the Service Desk before entering the building.
Remember
Do not leave valuable in your vehicle and make sure your vehicle is locked. WHRFC is not responsible for any damage to or loss of personal belongings of any guest or member.
Inclement Weather Schedule
Fitness Classes – Class will be cancelled all day if either Portland or Beaverton School Districts have a closure due to bad weather. If there is a delayed school start, classes will begin at 9 am or at the next regularly scheduled class time.
Tennis Lesson – All tennis lessons will be cancelled for the day if there are school closures for either Portland or Beaverton School District. However, tennis lessons will be held as usual with a delayed school start.
Women’s Flights – If either Portland or Beaverton School Districts have a delayed start or closure due to bad weather, Flights will be cancelled. However, courts reserved for Flights will be available to those ladies for open play.
Weekend Activities – Call the Inclement Weather Hot Line for updated information on Club activities, cancellations and/or closures.
Swimming Pool – No lifeguard on duty during inclement weather (heavy, rain, thunder, lightening, and hail).

Athletic Attire
All members shall wear athletic clothing and shoes appropriate to the exercise area being used. Shirts and shoes must be worn at all times. No cutoffs are allowed. Please see the specific departments for more information on attire. No wet swimsuits shall be permitted in the lobby or Fitness Center. Shirt, shoes and/or other suitable coverings are required in the lobby and Fitness Center.
Guest Privileges
A guest is subject to the same rules as a member.
A sponsoring member shall accompany the guest.
The sponsoring member must register each guest at the Service Desk.
Any member bringing a guest to the Club without following proper check-in procedures will be charged a double guest fee. Repeat violators will be subject to suspension.
A guest residing in the Portland area is restricted to use of the facilities once per month, except when visiting as a guest for lunch.
Members with an out-of-town guest wanting extended privileges may inquire with the Membership Director.
Food & Beverages
The Sweet Spot Hours:
Mon.-Sat.- 9am –2pm and 3:30pm-8: 30pm
Sunday hours vary. Coffee is available starting at 6 am.
Members may bring food and beverage to the Club.
A barbecue, refrigerator and sink are located on the north side of the pool house for member use.
Guests are welcome at no guest fee for lunch in lobby or on patio.
Pro Shop
Pro Shop is open to the public and has a large selection of tennis and athletic apparel, shoes, racquets and accessories for purchase.
Racquet stringing is available and done by West Hills Tennis Pros.
Our Junior Members
Children age 12 and under will not be admitted to the Club unless a parent or responsible delegate is on the premises.
All children 12 years and under must either be checked in with childcare or be accompanied by an adult or responsible delegate who is at least 14 years of age.
Juniors are expected to behave in a courteous manner at all times and respect Club property.
Juniors are subject to staff direction at all times.
Childcare Center
A current schedule of childcare hours, charges and rules is available at the Service Desk, childcare and bulletin desk.
Childcare service is available for children 3 months to 6 years in age.
All children 12 years and under must either be checked in the childcare or be accompanied by an adult or responsible delegate who is at least 14 years of age.
The Childcare Room is available during non-service hours. A waiver of responsibility must be obtained from the Service Desk, agreed to and signed by a responsible delegate.
Locker Rooms
Lockers may be rented on an annual basis.
Contact the bookkeeper to check availability.
Members are asked to use available day lockers and hangers to temporarily store personal belongings.
Any member/guest using a day locker is responsible for providing his or her own lock. Locks may not be left on lockers overnight.
Members are asked to secure items in the locker room by placing everything in locked lockers.
Clothing or shoes are not to be left to dry in the sauna.
Shaving is not allowed in the steam room or sauna.
Children age 17 and under may not use the sauna or steam room unless accompanied by an adult.
Opposite-sex children age 5 and under are permitted in locker rooms when accompanied by an adult.
Towels & Amenities
Towels are furnished to members for use in the Fitness Center, on the tennis court and the locker rooms.
Towels are not provided for use at the swimming pool, spa, or picnic areas.
Toiletries, hair dryers and swimsuit dryer are provided at no charge.
Personal Conduct
Members are asked to conduct themselves in a courteous and sportsmanlike manner and to refrain from the use of profanity at all times at the Club.
Members’ actions should not in any way interfere with other members’ enjoyment of the Club.
Suggestions
The General Manager and Department Heads are pleased to receive suggestions regarding the Club’s operation. Complaints should be brought to the attention of the management staff. A suggestion box is located at the Coffee Station.
Billing Information
Members will receive their bill by the 3rd of the month.
Payment is due by the 20th of that month in order to remain current.
Late fee will be charged (1.5% per month) on the unpaid balance on the 25th of the month.
Any member whose account is 60 days past due may be subject to suspension of Club privileges until the account is paid.
Dues shall accrue to all memberships until and including the month in which written resignation is received.
Monthly dues are billed on the first of each month.
Any member whose check is returned from the bank due to non-sufficient funds will be charged a $25 fee.

Indoor Courts
Courts 1, 2 and 3 may be reserved for match play only.
Courts 4, 5 and 6 may be used and / or reserved for match play, ball machine or lessons.
Courts 7 and 8 may be used and / or reserved for match play, lessons or ball machines.
Courts Times
Indoor tennis court times are for one hour and 15 minutes.
Available playing times are:

Reservations
Court reservations may be made as early as seven days in advance. Telephone reservation times:
- 8:30 am for morning courts (6:30 – 11:30 am)
- 9:30 am for afternoon courts (12:45 – 4:30 pm)
- 10:30 am for evening courts (5:45 – 9:30 pm)
- 8:00 am for previous day reservations (Court 4 may be reserved for any playing time the day previous to the desired day of play if available.)
Reservations may be made in person ten minutes after telephone reservations begin. Reservations made for singles must list tow names, doubles must list the names of all four players. A wait list will be maintained for those wishing to fill a cancellation.
Junior Indoor Courts
Junior players must be age 10 or over in order to have indoor court reservation privileges. Juniors age 9 and under may play on a reserved singles court with an adult or with at least two players eligible to make indoor court reservations.
Court Cancellations and No Shows
Court cancellations must be made through the Service Desk at least two hours prior to court time. All cancellations made less than 2 hours of court times are considered as a session played and will count against allowable monthly reservations. Players having court reservations who arrive late risk losing their court after 15 minutes. Unless the Service Desk is previously notified, the court will be considered an open court.
Saturday Evening Doubles Reservations
Four adults playing doubles may reserve a court at 7:00 pm and again at 8:15 pm on Saturday. This will count as one reservation (not two) per person.
Court Sign-in
All tennis players, including substitute players, on a reserved court must check in at the Service Desk. Service Desk personnel will check players in. All members whose names appear on the reservation sheet and are playing on the court will be charged a reservation.
Court Checks
Physical court checks will be done by the Service Desk for each court time to verify the court reservation sheet. If players have not checked in, Service Desk personnel are authorized to walk onto the court to check in players.
Children
Infants are not allowed on indoor or outdoor courts. Small children are not allowed on indoor or outdoor courts unless playing tennis with an adult or responsible delegate.
Open Courts
An indoor court that has not been reserved or left open by cancellation may be held with two players names two hours or less in advance of playing time. The 6:30 and 7:45 am courts are considered “open” if they are reserved after 9:00pm the previous day. Should players with a reserved court fail to show up after 15 minutes of scheduled court time, court may be used by other players.
Number of Advance Reservations
Advance reservations are those made two hours or more prior to court time. Adult players are limited to 14 advance reservations per calendar month; junior players, 10 per calendar month; maximum number of reservations per family, 35 per calendar month. Players are not allowed to have their names on back-to-back reservations. All players on a reserved court, or who have their names on the court reservation sheet, will be charged a reservation. The following do not count as a reservation: Women’s Day and Women’s Night, Men’s Day and Men’s Night, Mixed Doubles Nights, Junior Day, Flights, lessons, tournaments and the use of open court (non-reserved) time.
Violations / Fines
Members who fail to appear for a reserved court time will be charged a $5 fine. Failure to comply with the dress code, unsportsmanlike conduct, racquet throwing, swearing, abusing Club property or lack of cooperation with W.H.R.F.C. staff members charged with enforcing these rules may result in suspension or other disciplinary actions. Members will be charged $5 each time they play more than the allotted number of reservation periods per month or if the player makes back-to-back reservations.
Substitutions
Substitutions for advanced reservations, by telephone or in person, are defined as changing the name of a player on the books for the scheduled court time. For changes made more than two hours prior to court time, the substitute player will be the one charged for the reservation. For changes made less than two hours both the substitute and original player will be charged reservations. If a substitute causes either person to violate any reservation rule, the violator will be held accountable for the plenty.
Tennis Dress Code
Proper dress code rules apply to all members and guests who play on the indoor or outdoor tennis courts. All clothing must be in good condition and clean. Tennis shoes are the only acceptable shoes allowed on the courts. No running shoes, leisure shoes, or black soled shoes that mark are allowed. Tennis dresses, shorts or skirts are preferred. Shorts must be above the knee. Running shorts or swimsuits are not allowed. Compression shorts may be worn under shorts or skirts. Tennis shirts (knit with collar) are preferred for men. T-shirts are acceptable. Designs and logos on all apparel must be in good taste and may not advertise alcohol products, music groups or anything management views as poor taste. Absolutely not allowed are jeans, athletic tops (football, rugby, baseball jerseys, etc.); women’s sports exercise, swimsuits, or halter tops; men’s tank or crop tops. Shirts must be worn at all times. Warm-ups, sweatshirts and sweat pants are allowed. Running tights or legging may be worn under shorts or skirts.
Ball Machine
The ball machine may be reserved by one person alone on the indoor court designated for ball machine use at the following times:
6:30 – 7:45 am Monday through Friday
2:00 pm Monday through Friday
9:30 pm Monday through Friday
7:00 pm Friday
All Day Saturday and Sunday
Balls must be picked up before the end of the 1-hour, 15 minute time period. The schedule listed above may be changed slightly due to lessons and special events.
There is a $5 fee for use of the ball machine. The Service Desk will setup and remove the ball machine.
Outdoor Tennis Courts
Court Sign-up
All players must signup for a court at the Service Desk. Courts may be reserved 1 day in advance. Players who have not signed in for a court will be asked to relinquish the court immediately to players who have signed in. Players may sign up for another court only after their playing period has ended. No player may sign up for more than one court at a time. The courts will be forfeited if at least two players are not playing 15 minutes after their registered starting time.
Tennis Dress Code
Tennis Attire - Same as indoor tennis court attire.
Orientations
Appointments can be made at the Fitness Office for a complimentary orientation of the Fitness Center. The purpose is to give a general overview of the room and show how to use the equipment. It is not a personalized exercise program, although some health history information will be taken and general exercise guidelines will be available. Personal exercise programs are available through WHRFC Personal Trainers.
Fitness Center Etiquette
Exercise sessions on cardio equipment are on a sign-up basis.
Each member is allowed one half-hour time slot on cardio equipment.
Each member may have only one reservation on the board per apparatus/machine at any one time.
Dumbbells and weight plates are to be returned to racks immediately after use.
Spray bottles of cleaning solution are available throughout the exercise area. It would be appreciated if machines were wiped off for the next person.
Fitness Dress Code
Athletic clothing, shirts and shoes shall be worn at all times.
No open toe shoes or swimsuits allowed.
Youth Guidelines
Children age 8 and older may attend aerobic classes if accompanied by a parent of guardian.
Children age 14 and older may use the cybex weight room equipment if they complete an orientation with a Personal Trainer and use the equipment in an appropriate and safe fashion.
Children acting inappropriately in the Fitness Center or violating any of the above policies will be asked to leave.
Personal Training
Personal Training is offered to WHRFC members only. ACE Certified PT.
Appointments can be made through the Fitness Department.
Cancellations must be made 12 hours prior to training session. Otherwise, full charge will be billed.
Personal training may only be given by designated WHRFC Personal Trainers.
Massage
Massage therapy is offered to members and non-members.
Appointments can be made through the service.
Cancellations must be made 8 hours prior to a scheduled appointment.
Otherwise, full charges will be billed.
Reminder
No food, beverages (except water) or smoking are allowed in the Fitness Center.

Swimming Pool Hours
October through April, the pool is open 6 to 11am for adult lap swim only. A detailed seasonal swim schedule will be announced and posted. A Winter Swim Pass is required, and can be purchased at the service desk.
May through September the pool is open 6 am to 10pm. A detailed summer swim schedule (activities, programs, lessons) will be announced, posted and made available in the Summer Activity Book.
General Information
No swimming during inclement weather (thunder, lighting, heavy rain, hail)
Food and drink are not allowed within 10 feet of pool area.
Running or horseplay are not allowed. Additional health and safety rules are posted and should be read prior to pool use.
Showers are required before entering the spa or the swimming pool.
Soft beach balls and inflatable floating toys are allowed when pool is not crowded and at a lifeguard’s discretion.
Swimsuits only.
Juniors
Juniors age 7 and under must pass a swim test (one length crawl, one length on back) to swim alone when a lifeguard is on duty. Juniors up to age 16 may be asked to complete swim test.
Juniors age 17 and under are not allowed in the pool unless accompanied by an adult if a lifeguard is not on duty.
Children must be toilet trained or wear plastic pants with snug fitting legs (available in the Proshop). Disposable diapers are not permitted.
Lap Swim
In addition to the first 15 minutes of every hour, from 1pm to 10 pm, one lane for lap circle swimming will be available, at the lifeguard’s discretion during the day. Crowded conditions, safety issues, or policy changes can eliminate this swim lane.
Lifeguard Hours
When school is in session:
Noon to 5pm Saturday, Sunday and holidays.
During Summer vacation:
1pm to 10 pm Monday through Friday.
1 pm to 10pm Saturday and Sunday.
The pool will close during inclement weather (thunder, lightning, heavy rain, hail)
Wading Pool
Wading Pool Hours- Mid-May through September wading pool is open 6 am to 10 pm
General Information
The wading pool is not supervised by WHRFC lifeguards. Adults must accept responsibility for children’s safety.
Children 4 years and younger may use the wading pool.
Children age 5 and 6 may use it they have special needs.
An adult must supervise a child in the wading pool at all times.
Children must be toilet trained or wear plastic pants with snug fitting legs (available at Pro Shop). Disposable diapers are not permitted.
No jumping, diving or rough play.
Spa Hours
Spa is open 6 am to 10pm year-round.
General Information
The spa is not supervised by WHRFC lifeguards.
Adults must accept responsibility for children’s safety (children 17 years and under).
Children age 2 and under are not allowed
Person should spend no longer than 15 minutes in the spa at any one session.
Nobody should use the spa alone.
Elderly persons and those suffering from heart disease, diabetes or high blood pressure should consult their physicians before using the spa.
No person suffering from a communicable disease, transmission via water, shall use the spa. A person using medication should consult with a physician before using the spa.
No alcoholic beverage allowed.
Any individual under the influence of alcohol or drugs should not use the spa. No smoking allowed.
Pregnant women should not use the spa without consulting their physicians.
Maximum of 12 people in spa at one time.
Playground
Hours –6am to dusk.
General Information
Playground is not supervised by WHRFC personnel.
Safety, care and welfare of child are the duty of parent or responsible delegate.
Equipment is for use by children 4 to 12 years of age.
No rough play allowed.
Shoes are recommended.
Absolutely no food or drink allowed.
Basketball Court
Basketballs can be checked out at the Service Desk Hoop adjustment request, the Service Desk.
Picnic Area
Barbecue, refrigerator, and sink are located on the north side of the pool house for member’s use.
Club provides charcoal briquettes for barbecue.
Members are asked to leave barbecue area clean and ready for use.
All parties of 10 or more must be scheduled through the service desk manager.
Date, time and number of guests must be approved by the Service desk manager to avoid crowding of facility.
Remember the club does not reserve the barbecue and/or picnic table space- members must arrive early and secure their tables.
